How to save an XER schedule as PDF
Use XER Viewer as a browser-based XER reader to turn a Primavera P6 schedule view into a PDF. Open the Gantt print preview, prepare the page layout, then choose a PDF destination in your browser or system print dialog.
Prepare the schedule view
Open your XER file and switch to the Gantt view. Choose the activity columns, grouping and styling you want readers to see. Review filters and expanded groups so the intended activities are included.
Set up the PDF pages
- Choose Print in the Gantt toolbar. This opens the app's print preview rather than printing the whole browser window.
- Choose Layout. In Page Setup, select the paper size, orientation and margins. Landscape is often useful for a wide timeline.
- Open Timeline. Set the date range and task list columns. Use a focused date range when a long schedule would make the output hard to read.
- Open Header & Footer. Add the project title, data date, page number or custom text as needed.
- Review the preview pages. Check that columns, dates and activity labels are readable. Preview zoom changes how you inspect the page; use the layout controls to change the output.
Save the schedule as PDF
- Choose Print in the app's preview.
- In the browser or system print dialog, select a PDF destination. Depending on your browser and operating system, this may be called Save as PDF, Microsoft Print to PDF, or appear in a PDF menu.
- Match the paper size and orientation to the layout you selected in the app. Check the final page count and preview.
- Save the file, then open the PDF and review it before sharing.
If the PDF looks different from the preview
- Missing colors: enable background graphics or background printing if your browser offers that option.
- Extra web addresses or dates: turn off the browser's own headers and footers if they duplicate the app's header/footer.
- Clipped or tiny content: check paper size, orientation, margins and print scaling. Return to Layout to reduce columns or narrow the timeline range.
What the PDF contains
The PDF is a static presentation of the printed schedule view. It does not contain all the underlying XER tables or an interactive scheduling engine. Keep the original XER when you need to inspect the source data. To share spreadsheet data instead, see XER to Excel or styled Gantt export to Excel.
